Event Planning

Ideas1

Decide the one reason people will come

An event that is interesting to the organiser and to nobody else is the usual failure.

Promotion

Booked1

Lock the date, the venue, and the budget

Everything else can move. These three cannot, so settle them first.

  • Confirm the venue in writing, including access times
  • Check the date against local holidays and clashes
  • Agree who pays for what, and the cancellation terms
  • Check accessibility for people who need it

Promotion1

Announce three times, not once

Most people miss the first announcement. Plan the reminder before you need it.

Run of Show1

Write the plan minute by minute

On the day you will not be thinking clearly. Write it while you still are.

  • List every segment with a start time and an owner
  • Note who introduces each speaker
  • Plan the room setup and the technology check
  • Write down what to do if a speaker does not arrive

After1

Collect feedback while it is fresh

Ask within a day. A week later people only remember whether they enjoyed it.

01

When to use this board

For meetups, workshops, and community events run by a small group. The board locks the three things that cannot move — date, venue, budget — before anything else, plans the announcements as a sequence rather than a single post, and writes the run of show while you are still thinking clearly.

02

How to run this board

  • Lock date, venue, and budget.

Settle these three in Booked before you plan speakers or promotion.

  • Plan three announcements.

Schedule the first post and two reminders as cards in Promotion with their dates.

  • Write the run of show and collect feedback.

Plan each segment with a time and owner a week ahead, and ask attendees for feedback within a day.

03

What this creates

5 stacks, 4 board labels, and 5 starter cards carrying 8 checklist steps. Attachments and comments are intentionally omitted so the template stays portable.

04

Why it fits Deckloud

The template is just a recipe for standard Deck objects. No hosted workflow account, no relay backend, and no Deckloud-only object model.

05

Safe import rules

IDs are not stored. Stack and label keys are remapped at creation time, due dates use relative offsets instead of stale fixed dates, and checklists are written into the card description as ordinary Markdown task lists.

FAQ

Practical questions

Does this change my Nextcloud server schema?

No. It creates ordinary boards, stacks, labels, and cards through the normal Deck model.

Does the template include comments or attachments?

No. V1 templates are text-only because comments imply authorship and attachments vary by server/version.

Can I edit the board after creating it?

Yes. After creation it is just a normal Nextcloud Deck board.

Why announce three times?

Most of your audience misses the first announcement entirely. Planning the reminders in advance is the difference between a full room and an empty one.

What belongs in the run of show?

Every segment with a start time and an owner, who introduces each speaker, the room and technology setup, and what to do if a speaker does not arrive.
