Association

Proposals1

Collect member proposals in one place

A proposal that only exists in a chat thread cannot be voted on or tracked.

  • Record who proposed it and when
  • State what the association is being asked to do
  • Note any cost attached to it
Membership

This Quarter2

Plan the annual general meeting

The AGM has notice periods and quorum rules. Missing them can invalidate the decisions taken.

  • Check the notice period your statutes require
  • Send invitations with the agenda attached
  • Confirm the quorum you need to vote
  • Assign someone to take the minutes
EventCompliancedue in 30 days

Collect this year's membership dues

Chasing dues late costs more goodwill than asking for them on a fixed schedule.

Financedue in 14 days

In Progress1

Keep the member register current

Addresses and roles drift. An out-of-date register breaks both voting and communication.

Membership

Needs Vote1

List what the board must approve

Separate what one officer can decide from what needs a formal vote.

Compliance

Done1

File the minutes and the decisions

Written minutes are what the association can rely on a year later.

  • Record the decision and the vote count
  • Store the signed minutes where members can find them
  • Carry unfinished items to the next agenda

01

When to use this board

For clubs, associations, and registered nonprofits that run on volunteer time and have real governance obligations. The board keeps member proposals, dues, the annual general meeting, and the decisions that require a formal vote in one place, with the notice and quorum steps written down.

02

How to run this board

  • Collect proposals in one stack.

Turn every proposal from email or chat into a card in Proposals so it can be discussed and voted on.

  • Plan the AGM and dues for this quarter.

Check your statutes for notice periods and quorum, and send dues requests on a fixed date.

  • Separate votes from routine work.

Move items that need approval to Needs Vote, and file the minutes and decisions when they are done.

03

What this creates

5 stacks, 4 board labels, and 6 starter cards carrying 10 checklist steps. Attachments and comments are intentionally omitted so the template stays portable.

04

Why it fits Deckloud

The template is just a recipe for standard Deck objects. No hosted workflow account, no relay backend, and no Deckloud-only object model.

05

Safe import rules

IDs are not stored. Stack and label keys are remapped at creation time, due dates use relative offsets instead of stale fixed dates, and checklists are written into the card description as ordinary Markdown task lists.

FAQ

Practical questions

Does this change my Nextcloud server schema?

No. It creates ordinary boards, stacks, labels, and cards through the normal Deck model.

Does the template include comments or attachments?

No. V1 templates are text-only because comments imply authorship and attachments vary by server/version.

Can I edit the board after creating it?

Yes. After creation it is just a normal Nextcloud Deck board.

Does this cover legal requirements for associations?

No. The AGM checklist prompts you to check your own statutes for notice periods and quorum, because those rules differ by country and by organisation.

Should member personal data go on this board?

Keep the board to tasks and decisions. A member register with personal data belongs in a system with appropriate access control, on your own server.
