Freelance Operations

Leads1

Qualify before you write a proposal

Proposals are expensive to write. Ask the awkward questions on the first call instead.

  • Is there a budget, and is it in your range
  • Who actually decides, and have you spoken to them
  • Is the deadline realistic for the scope
  • Would you want this on your portfolio
Lead

Quoted1

Follow up once, then move on

One clear follow-up is professional. Three is a signal you have nothing else on.

Leaddue in 5 days

Active1

Log hours on the day you work them

Hours reconstructed at the end of the month are always wrong, and always in the client's favour.

Invoice

Invoiced2

Invoice on the same day each month

A predictable invoice date gets paid faster than an unpredictable one.

  • Check the hours or milestones against your log
  • Include the purchase order or reference they need
  • State the payment terms and the due date
  • Send it to the person who processes payments
Invoicedue in 30 days

Chase anything past its terms

Chase the day after it is due, politely and in writing. Waiting does not make it easier.

Overduedue in 31 days

Paid1

Set aside tax the day you are paid

Money moved to a separate account on the day it arrives is money you never spend twice.

01

When to use this board

For freelancers running the business side of freelancing, which is where the money is actually lost. The board qualifies leads before you spend a day writing a proposal, keeps hours logged the day they happen, fixes an invoice date, and treats chasing late payment as a scheduled task rather than an awkward favour.

02

How to run this board

  • Qualify leads on the first call.

Ask about budget, decision maker, and deadline before you write a proposal, and follow up once.

  • Log hours daily and invoice on a fixed day.

Record time on the card the day you work, and send every invoice on the same day each month.

  • Chase late payment and set aside tax.

Chase in writing the day after the due date, and move the tax share to a separate account when paid.

03

What this creates

5 stacks, 4 board labels, and 6 starter cards carrying 8 checklist steps. Attachments and comments are intentionally omitted so the template stays portable.

04

Why it fits Deckloud

The template is just a recipe for standard Deck objects. No hosted workflow account, no relay backend, and no Deckloud-only object model.

05

Safe import rules

IDs are not stored. Stack and label keys are remapped at creation time, due dates use relative offsets instead of stale fixed dates, and checklists are written into the card description as ordinary Markdown task lists.

FAQ

Practical questions

Does this change my Nextcloud server schema?

No. It creates ordinary boards, stacks, labels, and cards through the normal Deck model.

Does the template include comments or attachments?

No. V1 templates are text-only because comments imply authorship and attachments vary by server/version.

Can I edit the board after creating it?

Yes. After creation it is just a normal Nextcloud Deck board.

Why qualify before writing a proposal?

Proposals are expensive to write and free to receive. Asking about budget, decision maker, and deadline on the first call costs nothing.

Why invoice on a fixed day?

Predictable invoices get paid faster because they fit the client's payment run. Irregular ones wait for the next one.
